Job Description

  • Manage the administrative activities of the Company so that resources are used effectively and economically

  • Plan, supervise & monitor all centralized procurement activities so that the office goods, materials, supplies and services the Company procures will meet its standards of price, quality, timing & supply reliability

Other essential duties and responsibilities:

  • Manage the day to day operations of a variety of office services to ensure that the organizationís current and future administrative needs are met efficiently, reliably and economically

  • These activities include, but not limited to, facilities management of the Companyís offices currently in HCMC, Hanoi, Danang (cleaning, security, maintenance, renovation, fit out), fleet management, administrative assistance for employees and foreign visitorsí travel bookings, travel insurance, visa, accommodation, transportation, car rental requirements, mail distribution, messenger service, records management, cafeteria & recreation services, reception & communication systems (such as telephone, fax transmissions systems, etc.), procurement of office supplies, services and equipment

  • Liaise with other managers to ensure that office administration policies, SOPs, programs, and activities are done appropriately for their current and future business needs

  • Plan and manage maintenance activities and recommend upgrade or replacement of office equipment (excluding I.T. related equipment) to minimize disruptions to business activities and use the Companyís resources effectively

  • Supervise administrative staff in conducting research, canvassing, evaluating and recommending office supplies and equipment procurement in a cost efficient manner and meet the Companyís business needs

  • Analyze & evaluate the organizationís overall purchasing trends to identify areas where purchases could be made in bulk

  • Manage business relationship with third party suppliers (for example, cleaning or maintenance contractors or equipment vendors), set performance standards for third party suppliers and regularly evaluate performance against set standards to ensure the organization receives satisfactory service

  • Lead, direct, evaluate and develop a team of admin staff to ensure that administration activities are completed on time, according to established standards & within established budgets

  • Review existing administrative processes and recommend changes if necessary to achieve better efficiency

  • Perform other tasks that may be assigned by the immediate supervisor from time to time

Job Requirements

  • Bachelor's degree (B.A.) in Administration or any business courses from a recognized university

  • At least five years of related experience
