Job Description

Our client, a multinational group in Retail/Wholesale business, currently seeking a administration manager for their company located in Tan Phu.

  • Supervise the activities performed in all work units within an office, including office expansion planning and management, implementation of procedures, case management and processing
  • Assist the Department Head in the development and implementation of policies within the office. Develop standard operating procedures (SOP), forms and systems. Plan, develop and facilitate changes in procedures, forms and practices, work flows, personnel assignments, and equipment
  • Advise employees when unusual work situations arise or when new procedures are instituted
  • Perform personnel administrative tasks, including supervising the training of new employees and the ongoing training of other employees, resolving unusual employee problems, and supervising employee time and attendance records
  • Regularly meet with subordinates and other staff to exchange information and to discuss issues affecting the office. Calls and conducts formal staff meetings in order to exchange information and to discuss ways to make the office function more efficiently. Prepares written agendas, causes minutes to be recorded, prepares written summaries of issues and action plans for review by the Department Head
  • Serve as a point of contact for information concerning the activities of the office, the manager is capable of responding to all inquiries within established guidelines
  • Review and approve schedules for security guards, cleaners and drivers
  • Be responsible for checking firefighting equipment and usually manage fire drills for employees
  • Assists in the preparation and maintenance of the office budget
  • Supervise the office maintenance including infrastructure, electric equipment, air conditioners, water system…
  • Supervise and or performs special projects as required
  • Build and review facility reports monthly, quarterly, yearly

Job Requirements

  • University Graduate in either Business Administration or Linguistic
  • Have 5 years experience in administration, office management, multi-office management is preferable
  • English language, both written and verbal
  • Fluently in Japanese (at least N3)
  • Computer literate (Microsoft office)
  • Problem solving
  • Budget management
  • The ability to provide good customer service
