Job Description

Lead team members to achieve goals as follow :
  • Handle site and logistics requirements.
  • Monitor and manage event within timeline and budget.
  • Assisting in event operations and coordinate event logistics.
  • Ensuring smooth event organising.
  • Responsible for planning and organising events; oversee production of events from conception through completion.
  • Schedule for weekly/monthly program activities.
  • Generate weekly and monthly data for programs run, revenue against expenses.
  • Update status of each program attendees prior to run, hotel set up, props and coordination with external vendors as well as internal customers.
  • Manage invitation list and attendees of events, name tags, convention and festival passes and hotel confirmations for internal and external guests and attendees.
  • Event project planning support including timeline, communications schedule, tracking and reporting.
  • Work closely and collaborate with the management and sales team to ensure maximum effectiveness in events
Personal Assistant 
  • Minutes taking at all management meetings.
  • Proactively contribute to the management of the CEOs time - including diary management, organising appointments, meetings and travel arrangements.
  • Visas and accommodation arrangement, and occasionally travelling with the CEO to take notes or dictation at meetings or to provide general assistance during presentations.
  • Deal with incoming email, faxes, and post and generate draft correspondence and letter as required
  • Management of CEOs databases and contacts
  • Invite Business Leaders to our events
  • Liaise with clients and other staff
  • Submit on behalf of CEO any medical, travel and miscellaneous claims as required
  • Any ad hoc duty as assigned from time to time

Job Requirements

  • Diploma, Advanced/Higher/Graduate Diploma in Business Studies/Administration/Management/Secretarial or equivalent
  • A self starter who is able to work independently as well as in a team and pays high attention to details
  • Highly organised in managing multiple tasks and able to prioritise important and/or urgent matters
  • Strong written and verbal skills with the ability to communicate at all levels
  • Excellent interpersonal, communications and presentation skills
  • Competent in MS Word, Excel, and Powerpoint
  • Honest with good integrity
  • Responsive, enthusiastic and hard-working with a can - do attitude
  • Able to strategise and build strong rapport with customers and business owners
  • Customer service oriented and able to perform under stress
  • At least 3 - 4 years of relevant working experience
  • Energetic and enthusiastic individual whom is open to new challenges
  • Self motivated, dedicated, good team player and is able to work independently with minimum supervision
  • Applicants who have worked in Events related companies an advantage
