Job Description

Transcom is intiating IT asset management processes to manage risks and optimize utilization of software and hardware assets. As a critical success factor in enabling this implementation Transcom now wants to hire an IT asset manager to be responsible for the execution of processes.
The IT asset manager will have a dual reporting relationship to the IT asset management process owner, being the Director of CIO Office and to the Director of Shared Services. The role will liase with IT operations, the regional IT organizations, Procurement and FInance. While there is no IT asset management team in place yet, the IT asset manager may in the future manage a team.
Responsibilities
 
The IT asset manager will oversee all activities that optimize the value, cost and risk of IT asset life cycles. The IT asset manager will:
  • Support the process owner in developing IT asset management process at Transcom
  • Ensure that the implemented tool support for IT asset management, is successful
  • Ensure compliance for certain key software vendors
  • Review, approve, measure and follow up annual IT asset maintenance budgets and asset-related detail in business cases and project budgets
  • Implement and manage production of IT asset life cycle management status reporting, metrics and benchmarks.
  • Advise the projects and initiatives on asset strategies and recommend actions that will optimize the IT asset portfolio.
  • Gather all costs to ensure accurate transaction cost analysis and total cost of ownership analyses are performed for effective sourcing decisions.
  • Provision of IT asset data and input in support of procurement activities.
  • The IT asset manager will develop, maintain and support the staff and processes necessary to identify current and emerging IT asset life cycle costs and risks to the organization.
  • Ensuring that all IT asset life cycle-related cost and risk is correctly identified through metrics and published status reports, while enforcing mitigation and remediation activity.
  • Assessing the age and condition of all IT assets with a view to optimizing their refresh or replacement to minimize risk and cost, while maximizing business value.
  • Acting as a conduit or clearing house for data gathered by all relevant management processes and tools for purposes such as showback or chargeback.
  • Manage the response to software vendor audit or license validation requests.
  • Management of responses to financial audit requests regarding IT assets.

Education and Training
  • An undergraduate or post-graduate degree in e.g. finance, IT, engineering, business, management. Absent a formal education, extensive IT asset management experience including appropriate certifications such as may be acceptable.
  • Tertiary qualifications in financial accounting, quality management, such as Six Sigma, a legal or para-legal qualification that includes contract, copyright or intellectual property law or ITIL is preferred.
Skills
 
The IT asset manager must have the following skills:
  • Strong communication skills
  • A consultative approach and able to work in an immature environment.
  • Proven ability to build relationships and influence individuals at all levels in a matrix-management environment as well as external vendors and service providers.
  • Strong organizational skills, the ability to perform in a command-and-control role under pressure and to manage multiple priorities with competing demands for resources.
  • Strong analytical, data processing and problem-solving skills.
  • Proficiency in process formulation, implementation and improvement.
  • Proficiency in working in a fast-paced, complex, dynamic, multicultural business environment.
Knowledge
 
The IT asset manager must have in-depth knowledge and experience of the following job characteristics:
  • Financial accounting and reporting practices applicable to IT assets, costs and risks.
  • Engagement with tax and accountancy advisors to qualify any potential issues identified.
  • IT contracts and their likely cost implications through the IT asset life cycle.
  • Engagement with procurement and legal contract advisors for additional information.
  • IT asset life cycle management processes and supporting tools.
  • IT applications, operations, service and support organizations.
  • Data processing, analysis and quality management tools.
  • Development and implementation of processes and policies.
  • Additionally, an understanding of IT business continuity, security, total quality management and other risk assessment and optimization methodologies is highly desirable, along with knowledge of IT management and quality management.
Experience
The following experience is considered essential:
  • A senior management role including engagement with procurement.
  • Ten years of experience with IT, including data management.
  • Five years of demonstrated leadership experience building cross-organizational consensus with exposure to technology providers and/or business clients.
  • Three years of demonstrated experience managing a high-performing, cohesive team.
  • Three years of demonstrated experience in liaising with middle and senior management in a large multinational organization
The following experience is considered desirable but not mandatory:
  • Experience from working in the Customer Experience industry.
  • Experience in managing external IT service providers handling IT assets on behalf of your organization.
  • Experience in managing the risk and cost implications of IT contracts or contract negotiations.
  • Five years of hands-on information gathering, analysis and management reporting.
  • Membership of professional organizations, trade or user groups and a pattern of regular attendance at industry conferences to enhance knowledge of current technology.
