Job Description

Objectives of the role:
  • To coordinate and manage the Administrative function at local office. To provide administrative support to the office and assist with routine administrative tasks relating office operations, meetings, visits, travel, and ad hoc tasks as required by the business.
  • To be responsible for execution of HR administrative activities for the office, and to assist and support the Line Manager in administering the human resource functions across all the business areas. 
  • To responsible for the ISO quality Management and documentation.
Key Areas of Responsibility:
  • Manage the day to day requirements of the office including maintenance of equipment, liaising with vendors, housekeeping and requests from local office employees. 
  • Manage with team requests received  for obtaining new/renewed permit documents for all employees, ensuring that the employees are updated on the progress and all new/renewed document copies are submitted for filing.
  • Maintain and update the renewal of company licenses and/or registrations related to regulatory and government bodies, etc. and ensure this is done on a timely basis.
  • Provide a timely and efficient travel booking service to all employees travelling on business in the most cost effective manner and, in line with the company policy.
  • Provide cost effective hotel bookings for all employees travelling in and out of the country.
  • Maintain all records related to the company/office and retain confidentiality.

  • Ensure the front desk/reception area is well maintained and managed at all times.
  • Provide an internal resource to the Line Manager in all recruitment administration and coordination.  Advertise all vacant positions on the Company Careers Website, source candidates, correspond with applicants, including acknowledgement, initial telephonic screening, and set up of interview and rejection letters.
  • Responsible for the employees’ Induction and on-boarding in coordination with the Hiring Manager to ensure that the Company will effectively deliver the company message and standards to the new employees in an understandable manner with high level of quality.
  • Ensure monthly reporting for the office including: starters, leavers, vacancies, organisational charts, headcount and any other reporting required on an ad hoc basis.
  • Prepare offers/contracts for new employees and ensure they are properly signed.  Open file for the new employee, manage the on-boarding communication with relevant departments.  Take up reference checks and draft internal communication to organisation.
  • Maintain integrity of the payroll system, ensure joiner/leavers are administered correctly; salary increases, loans and ad hoc payments/deductions are processed.  Ensure appropriate authorisation of payroll and arrange salary transfer.
  • Support the team to establish, adapt and enhance the policies and procedures. Ensure HR policies are up-to-date and ensure appropriate communication of changes in the local laws & legislations. Maintain and update SharePoint with all HR policies and procedures.
  • To manage the ISO quality documentations are in proper order and storage
  • To coordinate the ISO qualiry audit (internal & external).

Job Requirements

ESSENTIAL
  • Degree in HR or Administration or any related qualification
  • 5 yrs+ HR Administration experience in a confidential environment
  • Good knowledge of ISO9001 & ISO14001 quality and certified internal quality auditor.
  • Able to work under pressure, meet deadlines and prioritise.
  • Excellent oral and written communication skills
  • Able to work confidently and independently.
DESIRABLE
  • Knowledge of all local country administration rules and procedures.
  • Has a background on HSE.
  • Knowledge of ISO Quality and internal auditor.
  • Friendly, approachable and professional presentation and attitude. 
  • Excellent organisational and multi-tasking skills with an eye for detail and quality.
